Getting Started

About StarTrack
The StarTrack program is Personal Information Manager. It is designed to
allow you track daily planner (to-do lists, appointments, and diary & notes),
your contacts (names, addresses, phone numbers, birth dates and
anniversaries), employees, and projects and tasks for your employees or any
person that work with you or for you. The program is loaded with features
with an extreme ease of use. The pull down, pop-up, and bar menus, on-
line help, message lines are making the use of the program a breath.
There are almost infinite ways of selecting information to be printed on the
Projects & Tasks reports. You can create your own query filters, save
them to file, and then use them over and over again to re-print the reports.
Select between short or detailed report formats.
The Daily Planner functions integrate to-do list, appointments and diary on
one screen. You can schedule events for weeks, months or years ahead.
You can search for a word or a phrase very easily. You can print all the
events of one day. The to-do list, appointments, or diary can be printed for
a day, a week, a month or even for a selected range of dates.
Print a phone directory or an address book sorted by first name, last name,
company name, city, state, zip code, birth-date or anniversary. You can
keep information about your employee or people that you work with and
notes about each one.
Minimum Configuration Required
To run the system, you need at least:
- IBM compatible computer
- 640 K of memory
- Hard disk drive
- One floppy disk drive

Installing StarTrack
If you purchased and registered the program directly through APEX
Computer Services, you have an INSTALL program that installs StarTrack
for you. Assuming you are using disk drive A:, insert Disk #1 in drive A:,
and then type: A:INSTALL. Follow the directions on the screen and your
are done.
If you received the program through a Shareware distributor, then it may
have the distributor installation program, follow their instructions, if there
is any.
Otherwise, perform the following installation procedure, which is fairly
simple.
1. Create a sub-directory for your StarTrk, (We will use STARTRK for
the directory name and C: for the hard drive name, but you can callPAGE 4
it anything), by typing each of the following commands, followed by
pressing the <ENTER> key:
C:
CD \
MD \STARTRK
NOTE: you can replace STARTRK with any valid DOS directory
name.
2. Point at the new directory by typing:
CD \STARTRK
3. Copy all the files of StarTrk installation disk to the new directory
by typing:
COPY A:*.* C:\STARTRK\*.*
4. If you have more than one disk, remove the first and insert the next
one. Repeat step #3 above.
5. Make sure that you have a CONFIG.SYS file in the root directory
of your hard drive. The CONFIG.SYS must contain the command
FILES=nn, where nn is a number that should be greater than 45.
If you do not have the CONFIG.SYS file or the command is not
there, please include it before running the program. If you need
more information, please refer to your DOS manual.
6. Copy the start-up batch file, into the root directory or in directory in
the path by typing:
COPY C:\STARTRK\STAR.BAT C:\*.*
NOTE: The above commends assume that the source disk is
drive A: and the target drive is drive C:

Words You Should Know
Field is an area to store one specific element of
information. E.g. First Name, ID
Number, Birth Date, etc.
Record is a collection of related fields. (e.g. an
Employee record will contain Employee
Number, Employee Name, Employee
status, Employee position, etc.
File or database is a collection of records.
Sort Key is a special field which the file (database)
is sorted by. For example you can sort
an address book by last name or zip
code.
Index File is a special file that is used for sorting
the records in a specific order.
Rebuild Index Sometimes the index files gets corrupted
due to power failure or disk problems,
which result in disability in finding
information. The StarTrack program has
a built-in function to repair these
corrupted index files by resorting them.
Cursor This is the blinking pointer, it will show
while editing fields in a data-entry
screen. The cursor is used to guide you
as a pointer to where you are at.
Pop-up Window A window is rectangular box where the
information is displayed. A Pop-up
window is a window that appears on top
of another window for a specific task.
E.g. when searching for a specificPAGE 6
record, a pop-up window will be
displayed for you to enter the desired
record number to search for.
Pull Down Menu A menu is a selection of options. There
are more than one type of menu. The
Pull-Down menu is usually at the top of
the screen where you go across
horizontal options, and from each one of
the horizontal options a pull-down (some
times called drop-down) menu appears.
Starting StarTrack
To start the program, type STARTRK from the StarTrack directory. You
need to change directory to the directory where StarTrack is installed by
typing:
CD \directory-name
Where directory-name is the name of the directory where StarTrack is
installed and then press <Enter>. To start the program type:
STARTRK
and then press <Enter>. Go ahead try it. The program will take few
seconds to load, then the title screen will appear (see figure 1.1). Press any
key to go on. If you are running a non-registered copy, the registration
screen will appear, please read it. If you wish to print the registration
form, make sure your printer is ON and then type 'Y' otherwise type 'N'.
Depending on your setup, you may have password or different prompts
appearing. The main menu will be displayed (see figure 1.2). Use the
<Left> and <Right> arrow keys to navigate through the menu and see
the different drop-down menus.

Selecting Menu Options
To select any option, use the <Left> or <Right> arrow keys to highlight
the main menu option, a drop down menu will be displayed, use the
<Up> or <Down> arrow keys to highlight the desired drop-down menu
option, and then press <ENTER>; you can also type the highlighted
letter associated with the desired option to select it.
Exiting StarTrack
To exit StarTrack press <Esc> from any where in the main menu OR use
the arrow keys to highlight the "Exit" option and then press <ENTER>
key. A confirmation message will appear, highlight the "Yes" option, and
then press the <ENTER> key.
Editing Keys & Cursor Control
The following keys can be used while editing fields in any data entry
screen:
<Up Arrow> Moves the cursor to the previous field. You can also
use the <Shift>-<Tab> keys.
<Down Arrow> Moves the cursor to the next field. You can also use
the <Tab> key.
<Left Arrow> Moves the cursor one character to the left within the
same field. If the cursor is at the first position of the
field, the cursor will move to the previous field.
<Arrow Right> Moves the cursor one character to the right within the
same field. If the cursor is at the last position of the
field, the cursor will move to the next field.PAGE 9
<Enter> Moves the cursor to the next field. It also toggle
check boxes On and Off.
<Backspace> Erases the character to the left of the cursor.
<Del> Erases the character at the cursor.
<Ctrl>-Y Erases all characters from the cursor position to the
end of the field.
<Home> Moves the cursor to the beginning of the field.
<End> Moves the cursor to the end of the field.
<Insert> Toggle insert mode On/Off.
<Space> Displays the different options in a selection field, and
toggle a check box On/Off.
<F1> Displays available help screen.
<F2> Save any changes and exit
<F3> Display pick lists, if available.
<F4> Open memo and notes window, if available.
<Esc> Cancel any changes and exit
Help
Help is available through-out the program by pressing F1. Press F1 at any
time to get appropriate help.

About Options
In this chapter you will learn how to change working date, setup and update
your company working hours and days off, setup company information
(Name, address, and telephone number), setup password, setup system
information, and setup external programs information, and setup your own
preferences for different functions.
All the functions listed above are accessed from the "Options" drop-down
menu from the main menu (see figure 2.1). To select any of the options,
use the <Left> or <Right> arrow keys to highlight the main menu
"Options" and then use the <Up> or <Down> arrow keys to highlight
the desired option, and then press the <ENTER> key.

Change Working Date
This option allows you to change working date. The working date is used
as the default date throughout the program. When this option is selected
a pop-up window will appear prompting you to enter new date (See figure
2.2). Type in desired date, or press <F3> for the pop-up calendar, then
select date and then press <ENTER>.
NOTE: When the program starts, the Work Date is set to the current
date of your computer. Changing the date through this option
will not change the system (computer) date.

Work Hours Setup
This option allows you to select the number of working hours per day, and
select the regular days off in every week (eg. weekend) (See figure 2.3).
Also you can specify the holidays and other days that your company will
be off. To select this option from the main menu, using the <Left> or
<Right> arrow keys highlight the "Options" menu, then use the <Up>
or <Down> arrow keys to highlight the "Work Hours Setup" option, and
then press <ENTER>; you can also type the option highlighted letter to

Regular (Weekly) Days Off
Use the <Up> or <Down> arrow keys to highlight the regular
weekly day(s) off, and then press <SPACE> to place a check next
to it. You can toggle the check mark On and Off using the
<SPACE> bar. Do NOT select all the days of the week off
because you will not be able to set tasks within projects.
Hours Per Day
Enter the number of working hours per day. You can enter any
number from 1 to 24 hours per day. The number of working hours
will be used to calculate the duration of the task.
Other Days Off
Enter 'Y' and then press <ENTER> to enter additional days off.
A window will pop-up showing current selected dates, and other
blank date. Enter dates of additional days off or holidays and press
<Tab> after each date. To erase a date, highlight the date to be
erased, and then press and hold the <Ctrl> key and then type 'Y';PAGE 14
the date will be blanked. Press <F2> to save changes and exit to
main menu, or press <Esc> to cancel changes.
NOTE: You need to update this list of dates regularly.
Company Information
This option will allow you to enter and update your company's name,
address and telephone number (See figure 2.4). You will also get to select
to print these information on all reports or not. To select the option,
highlight "Options" from the main menu, and then select the "Company
Information" options from the drop-down menu.
Use the <Up> or <Down> arrow keys to move from one field to
another. Press <F2> to save changes. Press <Esc> to cancel changes.
Company Name: Enter your company's name.
Address 1: Enter your company's address; line 1.
Address 2: Enter your company's address; second line if any.
City: Enter the city where your company is.
Zip Code: Enter your company's zip code.
Phone No.: Enter your company's phone number.
At the bottom of the screen you have the option to select to print company
information on reports. To select Yes, use <SPACE> to toggle between
'Y' and 'N' and then press <ENTER> key.

Change Password
This option will allow you to change the log-in password. To select the
option, highlight the "Options" from the main menu, and then select the
"Change Password" option. When this option is selected a pop-up window
will appear prompting you to enter password (See figure 2.5). Enter new
password and then press <ENTER> (the password will not show while
typing). You will be prompted to enter password again for confirmation.
Enter the new password again and press <ENTER>.
NOTE: If you wish NOT to have a log-in password at all, press
<ENTER> without typing any information for the new
password.

Setup
This option allows you to update program directory, data directory, display
type, and printer port. When this options is selected, a pop-up window will
be displayed with 5 entry fields (see figure 2.6). The fields are:PAGE 17
1. Program Directory
Enter the directory and the path where the program is installed.
StarTrack will automatically fill this field, you can accept the
default.
2. Data Directory
Enter directory and path where the data files are. StarTrack will
automatically pick the current directory as the default directory.
You can accept the default name.
3. Display Type
Use the <SPACE> bar to select from the different display types.
There are different display types, you need to know the type of your
display. Refer to your monitor or graphic card manual, or your
dealer to get more information. StarTrack will try to select the
correct display type for you. If you can see all the fields and menus
on the screen, you probably have the correct display type; do not
change it.
4. Printer Port
There are different ports in the computer where a printer can be
attached. Select the printer port where your printer is attached by
pressing <SPACE> bar to select from the different options. Refer
to your printer manual or dealer if you are not sure which printer
port to select
Run Setup
This option allows you to enter setup information about external programs
that you can run from StarTrack. When this option is selected a pop-up
window will be displayed allowing you to enter information for up to 4PAGE 18
different programs (see figure 2.7). For each external program you will
need to enter information about Start-up Directory, Program File Name,
and the Menu Prompt.
Enter the information required for each field. Use <Up> or <Down>
arrow keys to move from one field to another. Press <F2> to save, or
<Esc> to cancel changes. The following is explanation of each of the
fields:
1. Start-up Directory
Enter start-up directory name. This will be the directory where you
wish to point at when the program starts. E.g. if you wish to run
WordPerfect, where the program directory is:
C:\WP51
but your documents may be in directory:
C:\DOCS
the type C:\DOCS as the start-up directory.
2. Program File Name
Enter program file name including full path, (drive and directory).
E.g. if you wish to run WordPerfect, the program file is WP.EXE
and it is in the C:\WP51 directory, then type:
C:\WP51\WP.EXE
to run the program. The program name and directory will change
based on the program you are running.

3. Menu Prompt
Enter any prompt you wish to show in the RUN drop-down menu. When this
prompt (option) is selected the associated external program will be executed.
NOTE 1. WordPerfect and other large programs can only be executed if you
have the registered extended version and if you have enough
memory.
2. To execute any external commands, the operating system file
COMMAND.COM must be in the current directory or otherwise
locatable by the DOS COMSPEC parameter. See your DOS manual
for more information on SET COMSPEC.
3. Do NOT run disk reorganization programs like CHKDSK or Norton
Utilities from StarTrack. They modify the contents of your disk in
a manner which can confuse StarTrack. PAGE 20

Preferences
This option will allow you to customize few of StarTrack functions:
1. Move Old And Not Completed To-Do Forward
If you select 'YES', by using the <SPACE> bar, StarTrack will
automatically move all the TO-DO items that were not done from
previous day to today (current work day). You can move old and
not done To-Do forward manually by selecting the option "Move
Old To-Do Tasks" from the Utilities main menu, or by pressing
<F4> from the TO-DO data entry window.

2. Alert Before Birth Dates & Anniversaries
If you select 'YES', by using the <SPACE> bar, you will be asked
to enter how many days before the date, (birth date or anniversary),
you wish to be prompted (notified). Every time you start StarTrack,
it will search for any birth dates or anniversaries from the phone
book that are on the current day or will be after the number of days
you specified above, and display them in a window.
3. Stamp Recurring To-Do Upon Starting
If you select 'YES', by using the <SPACE> bar, recurring tasks
will be stamped on today's TO-DO list automatically.
4. Allow Tasks To Start Before Projects
Normally, you will have tasks within a project start on or after the
project issue date, but you can tell StarTrack to allow the task to
start before the project issue date if you select 'YES' in this option.

Files

About Files
In this chapter you will learn how to update information in your Employees
file, create and update projects and tasks within projects, update information
in the phone book, and update your daily planner, to-do list, and
appointments. We will start with the Employees file since the information
in that file will be used in Projects and Tasks. But, before we talk about
any of the files, let us talk about the edit menu.
The Edit Menu
When you select the Projects, Tasks, Employees, Recurring To-Do's, or
Phone Book options, you will see the Edit Menu displayed at the bottom of
the screen. The Edit Menu allows you to add new records, edit the
displayed record, delete the displayed record, recall a previously deleted
record, search for a specific record, browse through multiple records at one
time, display previous or next record, and exit to the main menu. The
following is detailed explanation of each of the options of the Edit Menu.
The following is an explanation of the different options of the Edit Menu.
NOTE Press <F1> at any time to get appropriate help.
Add
When the "Add" option is selected, the fields will be blanked, and
the cursor will be placed at the first field. See section "Editing Keys
& Cursor Control" in chapter 1 "Getting Started" for information on
how to edit fields. Enter the information for each field. When done
press <F2> to save and exit, or press <Esc> to cancel adding the
new record.
Edit
When the "Edit" option is selected, the cursor will be placed at the
first field of the displayed record. See section "Editing Keys &
Cursor Control" in chapter 1 "Getting Started" for information on
how to edit fields. Position cursor on the field you wish to modify
and make necessary changes. When done press <F2> to save and
exit, or press <Esc> to cancel any changes.PAGE 24
Delete
When the "Delete" option is selected, the current displayed record
will be marked for deletion. Marked for deletion means that the
record will not be removed from disk, but will not show on any of
the reports. See "Remove Deleted Records" section in Chapter 5
"Utilities" for how to permanently remove records from disk.
Recall
If the "Recall" option is selected from the edit menu, while the
displayed record was previously deleted, the record will be restored
(the deletion mark will be removed).
Search
You can search for a specific record based on the key field, (e.g.
Employee name, project number, etc). When you select the
"Search" option from the edit menu, a pop-up window will be
displayed allowing you to enter the information to search for. A
browse window showing several records, with the record with the
closest match begin highlighted; select the desired record and then
press <Enter>.
Browse
The browse is a very nice utility. It allows you to view multiple
records in the same window. Use <Up> or <Down> to move
from record to another. Use <Tab> or <Shift>-<Tab> to
move from one field to another. If you highlight a record and press
<Enter>, the browse window will disappear and the record will be
displayed in the data entry screen. This is very helpful to search for
records that you are not sure of their key field.
Next / Previous
You can display the next or previous records by selecting the "Next"
or "Previous" options from the edit menu; you can use the
<PgDn> or <PgUp> keys to perform the same functions.

Exit
Select the "Exit" option from the edit menu or press <Esc> to exit
to the StarTrack main menu.
Employees Option
This option allows you to update information about your employees, co-
workers, contractors or any type of people you are working with. When
this option is selected the data entry is displayed (see figure 3.1). At the
bottom of the screen you will see the edit menu, which allow you to add
new employees, edit displayed employee, delete displayed employee, recall
deleted record, search for a record by employee name or number, browse
through all employees records, display previous and next records, and exit.
To select any of the edit menu options, highlight the option and then press
<ENTER> or press the highlighted letter associated with the option.
Press <F1> at any time to get appropriate help.

Entering Employee Notes
While adding or editing a record, press <F4> to enter notes about
the employee. A window will pop-up allowing you to enter any
information about the employee. When done press <F2> to save
and return to data entry screen, or <Esc> to cancel changes.
Employee Fields Description
Employee No. Enter 6 digits for employee number.
The purpose of the Employee number is
to have a unique number for each
employee and be able to distinguish
between employees with the same name.
The program will generate a unique
number for you. You may accept the
generated number, or change it if so
desired. StarTrack will let you know if
you enter a duplicate number.
The employee number is used as one of
the sorting options for sorting the
employee listings.
Employee Name Enter up to 30 characters for employee
name. Format for the name should be
last name followed be a comma and then
followed by first name.

Status Enter Employee Status. E.g. Full-Time,

Projects Option
This option allows you to update information about your projects
(assignments). When this option is selected the data entry is displayed (see
figure 3.2). At the bottom of the screen you will see the edit menu (see
Edit Menu section in this chapter for more information), which allows you
to add new projects, edit displayed projects, delete displayed projects, recall
deleted record, search for a record by project number or title, browse
through all projects records, display previous and next records, and exit.

Project Fields Description

Searching For A Project
To search for a project, the Edit Menu need to be displayed. Select
the "Search" option, and then enter the project number you wish to
search for (See figure 3.4). A record browse window be displayed
with the record with the closest match is highlighted. Select the
desired record and then press the <Enter> key.
If you do not know the project number, use the "Browse" options to
scroll through the different projects (See figure 3.5). When you
highlight the desired project, press the <ENTER> key.

Tasks Option
This option allows you to update information about tasks within projects
(assignments). Each project may contain several tasks. Each task shall
have a starting and ending date and also duration. This option of StarTrack
allows you to update the tasks. When this option is selected the data entry
is displayed (see figure 3.6). At the bottom of the screen you will see the
edit menu (see Edit Menu section for more information), which allows you
to add new tasks, edit displayed tasks, delete displayed tasks, recall deleted
record, search for a record by project and task numbers, browse through
all task records, display previous and next records, and exit. To select any
of the edit menu options, highlight the option and then press <ENTER>
OR press the highlighted letter associated with the desired option. Press

Task Fields Description
Project No. Enter 5 digits for Project Number.

associate tasks to its parent project and
be able to sort and search for projects by
project number.
If the data entry is activated from the
Projects data entry screen, this field will
be disabled. Otherwise, enter project
number. If project number is not found,
you will be prompted. You can enter
tasks for existing projects only. So, you
need to create the project first.
The Project Number will be used as one
of the sorting options for sorting the

can press <F3> for pop-up calendar,
highlight the desired date, and then press
the <ENTER> key. The date is
computed automatically, based on the
task starting date and the estimated man
hours to complete the task, but you can
change if so desired.
Status Task Status
The following are the different status you

for a record by first name, last name, or company name, browse through

Searching For A Record
To search for a record, the Edit Menu must be displayed. You can
search by first name, last name, or company name. Select the
"Search" option, and then enter the first name if you wish to search
by first name. The brows window will be displayed in the order of
the first name, last name, or the company name with the closest
match is highlighted. Select the record and then press <Enter> to
display the record.PAGE 40
Daily Planner Option
This option will allow you to access a complete Daily Planner. It allows
you to track your appointments, daily to-do tasks, and diary. All the
information can be accessed from one screen. You can search for a word
or a phrase in your notes, To-Do's, or Appointments for any specific period
of time. The notes can be imported from and exported to text files. The
appointment shows the current hour appointment. The appointments and
tasks can be moved from one day to another.
When this option is selected the daily planner screen is displayed (See
figure 3.7). At the bottom of the screen you will see the Daily Planner
menu which allows you to display the pop-up calendar, update To Do list,
update Appointments, update Diary (notes), display previous day
information, next day information, search, and exit to the system main
menu.
The screen is divided to three main sections. The upper section shows
today's To Do list, their priorities and status. The screen will show the
first 7 items, but you can enter as many as you wish per day when you
update the To Do list. The lower left section shows your appointments for
today. The screen will display up to 8 appointments, but you can enter as
many as you wish when updating appointments. The lower right section,
will display portion of your diary (notes) for the day. At the top of the
screen the working date (today's date) is displayed.
Calendar Pop-up
The Calendar option will display the pop-up calendar (See figure 3.8). Use
the arrow keys to highlight the desired date, and then press <ENTER>
to select the date. The <PgUp> key will display previous month,
<PgDn> key will display the next month, <Home> key will display
previous year, and <End> key will display next year. You can use a
Mouse, if you have one. Once the date is selected, the Daily Planner
screen will show the information of the day selected.PAGE 41

To Do Option
This option allows you to update the current day To Do items or list.
When this option is selected the update list is displayed (See figure 3.9).
Use the arrow keys to highlight the To Do item to change description,
priority or status. Use the <SPACE> bar to toggle between the different
options for Status or Priority.
Status The status of the To Do item.
The status can be blank, ACTIVE, DONE or
CANCELED. Use <SPACE> bar to toggle.
Priority Priority of To Do item.
The list will be sorted in the order of priority.
Priority A is the highest, followed be B, C, and
Z. Where Z means no priority.
Task Task description
SPECIAL KEYS USED FROM THE TO-DO WINDOW
<Alt>-A To add a new TO-DO item press and hold the
Alt key and then press the letter 'A'. A
window will be opened, enter the Status,
Priority, and TO-DO description, (use
<SPACE> bar to select the different options
for Status and Priority), and then press <F2>
to save or <Esc> to cancel the new item.
<Alt>-D To delete a TO-DO item, highlight the item and
then press and hold the <Alt> key and then
press the letter 'D'. Confirm the prompt by
highlighting 'YES' and then pressing the
<Enter> key.
<Alt>-M To move a TO-DO item to a different date,
highlight the desired item, and then press the
letter 'M' while holding the <Alt> key. A PAGE 43
window will be displayed so you can enter the
date you wish the TO-DO item moved to; enter
the date and then press the <Enter> key, or
<Esc> to cancel.
<F2> Save and exit back to the Daily Planner screen.
<F3> This key will display a pop-up menu that
provides additional options for the TO-DO list.
You can print today's TO-DO list, print the
Daily Planner for the day, stamp information
from a project, stamp information from a task
within a project, or stamp information from a
phone book.
<F4> This key will allow you to move old and not-
done TO-DO items from previous days to
today's TO-DO list. This function can be
performed from the Utilities main menu. Also,
you can select from the Preference option under
the Options main menu to have StarTrack
automatically move the old TO-DO forward
upon starting the program.

Appointment Option
This option allows you to update the current day Appointments. When this
option is selected the Appointments update screen is displayed (See figure
3.10). Use the arrow keys to highlight the desired time-slot and then enter
description. The appointments are divided to half hours slots. You can
select an appointment for any time of the day.

<F2> Save and exit to the Daily Planner screen.
<F5> This key will display WEEK AT A GLANCE
window. You can see the appointments of the
current week. Each day will display up to four
appointments. If you have more than four
appointments in one day, a brackets with the
plus sign and the number of appointments not
displayed in the window will be shown. E.g.
if you have 6 appointments in one day, the first
four will be displayed and [+2] will be
displayed on the lower boarder of the window.
To see previous week's appointments press the
<PgUp> key. To view the next week's
appointments press the <PgDn> key.
<F6> When <F6> is pressed, MONTH AT A
GLANCE appointments window will be
displayed. You will see current month's
appointments. Each day will show up to two
appointments. If you have more than two
appointments in one day, a plus sign with
number of additional appointments will be

<Alt>-M To move an appointment to a different day or
time, highlight the appointment and then press
the letter 'M' while pressing the <Alt> key.
A window will be displayed for you to enter the
date and time to move the appointment to.

Diary Option
This option allows you to enter any notes and diary for the current day.
The words are wrapped around automatically when end of line is reached.

<F2> Save and exit to the Daily Planner screen.
<F3> When <F3> is pressed a pop-up menu of
additional options is displayed. You can select
to print today's diary (you need to have the
diary saved first), print today's daily planner,
and stamp information from a project, task
within a project, or the phone book.
<Alt>-E To Export the diary or notes to a text file, press
and hold the <Alt> key and then press the
letter 'E'. You will be prompted to enter a file
name. You can enter a full path (drive,
directory, and file name). Make sure to follow
DOS file name rules (1-8 characters, start with
a letter, and no imbedded spaces). The PAGE 47
information in the current Diary window will be
written to the file, and then you can use it with
your favorite word-processor.
<Alt>-I To import a text file into the diary/notes
window, press the letter 'I' while holding the
<Alt> key. You will be prompted to enter the
file name, (including the full path), and then
press <Enter>. If the file is found, it will be
displayed on the screen. The file will be added
to the end of the existing notes.
<Esc> To cancel changes to the Diary screen and
return to the Daily Planner screen.

Search
This option allows you to search for a word or a phrase in your TO-DO
list, appointments, or diary (See figure 3.11). You can search between any
specific number of days. Select what to search (Diary, To-Do list, or
Appointment), by highlighting the option and then use <Space> bar to
select it. Enter the "From" and "To" dates to search in between. Enter the
word or phrase to search for (upper or lower case letters are ignored).PAGE 48
Recurring TODO Option
This option allows you to create and update recurring TO-DO items (see
figure 3.12). You can create TO-DO tasks that are frequently used, e.g.
daily, weekly, monthly, annually, or even every specific number of days.
For example, if you prepare a Status Report for your manager every week,
you can create the TO-DO item here and it will show on your daily planner
every week. When this option is selected the data entry is displayed. At
the bottom of the screen you will see the edit menu (see Edit Menu section
for more information), which allows you to add new records, edit displayed
record, delete displayed record, recall deleted record, search for a record
by TO-DO description, browse through all records, display previous and
next records, and exit. To select any of the edit menu options, highlight
the option and then press <ENTER> or press the highlighted letter
associated with the desired option. Press <F1> at any time to get
appropriate help.

Task Fields Description
Task To-Do task description.
Priority To-Do priority as you want it to show on
the Daily Planner.PAGE 49
Status Status of the To-Do priority when it
appears on the Daily Planner.
Occurrence How often you want the To-Do item to
occur. Highlight the desired option and
then use the <Space> bar to select it.
A dot will be displayed in the option
selected. If you select "Every nn Days",
you will need to enter the number of
days between occurrence.
Days When you select the "Every nn Days" in
the Occurrence field, you will need to
enter the number of days between
occurrence. E.g. If you wish to Balance
Pay Roll every two weeks, then you will
enter 14 in this fields (days include
weekends).
Next Occurrence Enter the date of the next occurrence of
the To-Do item. You do not need to
update the date, StarTrack will update
automatically after each occurrence of
the To-Do task.

About Reports
This chapter will discuss how to print all the different reports and listings
that are provided by StarTrack. All the options for the different reports can
be selected from the Reports drop-down menu (see figure 4.1). To select
any of the report options, highlight the "Reports" main menu options, and
then use the <Up> or <Down> arrow keys to select the desired option.
You can print two type of report formats for the Projects and Tasks in an
almost infinite ways of selecting the data. The "Sort Project & Tasks"
report will print summary information about projects, tasks, or both. The
"Detail Project & Tasks" report will print all information including notes
of projects and tasks. Appointments, To Do, and Diary listings can be
printed for the current day, current week, current month, or for a selected
range of days. You can print summary or detail information about your
employees. A phone directory can be printed from the Phone Book file.

Short Project & Tasks
Both the Short and Detail reports for Projects and Tasks have a very
powerful query system. You can create a filter, also called Report Setup,
to select the kind of data to be printed on the report. When you create your
report setup, you can save it to a file and use it to re-print the report at a
later time. The reports are written to a file, and can be imported to Lotus,
Excel, or any other application that can read dBASE (.DBF) file format.
Report Setup Menu
When you select "Short Project & Tasks" or "Detail Project & Tasks"
reports, the Report Setup menu is displayed (See figure 4.2). The first
option "Filter (No Save)" allows you to create a report setup (filter) without
saving it to a file. The "Create Report Setup" option allows you to save the
created report setup to a file, and save it to the report setup catalog. The
"Use Existing Setup" option allows you to select a report setup from the
report setup catalog, to print the report. To delete a report setup, select the
option "Delete report Filter". If you forget what was the contents or query
of any of the report, use the "View Report Filter" option to view the
contents of any selected filter.

Creating & Saving a Report Setup
To create a report setup and then print the report, after selecting either of
the "Short Project & Tasks" or "Detail Project & Tasks" reports, perform
the following steps:
1. Select the "Create Report Setup" options from the pop-up menu.
Enter report name, up to 8 characters, and the report description
(See figure 4.3). Report name must start with a character, and no
spaces within the name is allowed. Enter a description of the report.
The description will be saved in the catalog and will help you
recognize the report setup in a later time.

2. Select file for the report. You can select Projects only, Tasks Only,
or Projects & Tasks; the last option will print the tasks within the
each project.
3. Now you see the different fields that you can filter on. You can
customize the report filter any way you want. E.g. you can select
projects with priority less than '02', or projects with issue date after
12/31/88, or tasks with In Progress status. Highlight the desired
field, e.g. Status, and then press the <ENTER> key.PAGE 54
4. Select the operator to use; (e.g. "Equal To").
5. Enter the value; for status you can use the <SPACE> bar to select
between the different status. For this example select "IN
PROGRESS".
6. If you wish to select multiple options in the filter, select the
Operator; e.g. AND or OR. For this example select "---NO More -
--" option.
7. Select the primary sort. Highlight the desired field to sort by and
then press the <ENTER> key.
8. You can select the starting and ending value for the primary field.
If you wish to start from the top of the file, leave the first field
blank. If you wish to continue to the end of the file, leave the
second field blank.
9. Select the secondary sort. Highlight the desired field to have as the
secondary sort and then press the <ENTER> key.
10. Select the different print options. This screen allow your to select
to print Date, Page Number, and Totals on the report. Move from
one selection to another using the arrow keys. Use the <Space>
bar to toggle between "Y" or "N" for Yes or No.
Make sure your printer is ON, ready, and loaded with paper. The report
will start printing automatically. Press the <Esc> key at any time to stop
the report from printing.

Using Existing Report Setup
To print a report using a report setup you have created from before,
perform the following steps:
1. Select the "Short Project & Tasks" or the "Detail Project & Tasks"
report.
2. Select the "Use Existing Setup" option from the pop-up menu. A list
of all the existing report setups will be displayed; select the desired
one and then press the <ENTER> key.
3. Follow steps 7 through 10 in the "Creating & Saving a Report
Setup" section above.
Deleting Report Setup
If you wish to delete a report-setup, perform the following steps:
1. Select the "Short Project & Tasks" or the "Detail Project & Tasks"
options from the Report main menu.
2. Select "Delete Setup" option from the pop-up menu (see figure 4.2).
3. A pop-up window with the names of the report-setup files and their
description will appear in the order of setup name. Highlight the
report setup name and then press the <Enter> key.
Viewing Report Setup
If you forget what you have entered in the report setup, you can view the
filter on the screen; perform the following steps:
1. Select the "Short Project & Tasks" or the "Detail Project & Tasks"
options from the Report main menu.
2. Select "View Report Filter" from the pop-up menu (see figure 4.2).
3. A pop-up window with the names of the report-setup files and their
corresponding description will appear in the order of the setup file
names. Highlight the report setup name and then press the
<Enter> key.

4. A pop-up window with the report setup will be displayed. View the
setup and then press any key when done.
Detail Project & Tasks
The Detail report print all the information about the project, tasks, or both
including the project and tasks notes. Both the Short and Detail reports for

Employee Listing
This option allows you to print Employee Summary and Detailed listings.
When this option is selected, a dialog box is displayed, (See figure 4.4).
From the Dialog box you select the type of the report, Summary or
Detailed by highlighting the options and then pressing <SPACE>. The
report can be sorted be either Employee Name or Employee Number. To
select the sort, highlight the option and then press the <SPACE> bar.
You can select the range of the report (See figure 4.5). E.g. if you are
sorting by Employee Name, you can select all employee names that start
with "F" and end with "L", by typing "F" in the Start With field and "L"
in the End With field. If you leave the Start With blank, the listing will
start from the beginning of the file. If you leave the End With field blank,
the report will print until the end of the file.PAGE 57

This option will print all the appointments, to do items, and diary of one
day. When this option is selected, the current work-date will be the default
print date. If you wish to print the daily planner for a different date,
highlight the no option and then press <Enter>. A pop-up calendar will
be displayed; select the desired date.

Appointments Listing
This option will allow you to print the appointments of today, this week,
this month, or any selected range of days. When this option is selected a
pop-up menu is displayed, (see figure 4.6). Once the desired option is
selected, the report will print.

To Do Listing

this month, or any selected range of days. When this option is selected a
pop-up menu is displayed, (see figure 4.6). Once the desired option is
selected, the report will print.

Phone Listing
This option will print two type of listings: Phone Directory and Phone &
Address Book. When this option is selected a dialog box is displayed, (See
figure 4.7). Any of the listings can be sorted by Last Name, First Name,
Company Name, City, Status, Zip-Code, Birth Date, or Anniversary Date.
You can select to print the whole file or a selected range of records on the
report based on the sorting key.

About Utilities
In this chapter you will learn about the different utilities you have in
StarTrack. You can backup and restore data files, re-index corrupted index
files, remove previously deleted records from disk, clean up old
information, and move old and not completed to-do items to current
working day. All these options are accessed from the Utilities main menu,
(see figure 5.1).

Backup
This options allow you to backup any of the StarTrack files. Backup is
very important; you should backup your files regularly. When you select
the Backup option, you will be prompted to confirm your request. Enter
"Y", for yes, to confirm your request. A pop-up menu of all the available
files will be displayed (See figure, 5.2). Highlight the file you wish to
backup and then press <ENTER>. A window will be displayed to allow
you to enter the Drive and Path where you want to backup the file to. If
you enter a valid drive and path, the backup will take place.
NOTE: If the file is to big to fit on disk, you will need to use DOS's
backup command for backup. When you back-up using the
DOS BACKUP command, you need to backup all files with
extension DBF, FPT, and CDX (Refer to your DOS manual
for more information on how to do the back-up).
Restore
If you ever loose any data files or delete them by mistake, you can restore
them from the backup disks (assuming you have been backing-up your
data). Highlight the Restore option, and then press <ENTER>. You will
be prompted to confirm your request, enter 'Y'. A pop-up menu of all the
files will be displayed, (See figure 5.2). Select the desired file to restore
and then press <ENTER>. Enter the drive and directory, (full path),
where the backup file is located. If the file is found the restore operation
will take place.
Re-Index
The StarTrack index files are very stable, but in rare incidents, when you
encounter power surge, power failure, or you turn-off your computer while
in the middle of updating information in StarTrack, they may get corrupted
(get out of order). Also, if you have defected hard-disk, you may
encounter this problem. The Re-Index utility will rebuild the index file and
put it back in order automatically for you.PAGE 63
When do you Re-Index?
If you try to search for a record or print a report and can not find
specific records that you are sure you have entered, rebuild the index
files.
Remove Deleted Records
The "Delete" option in the different data entry screens marks the displayed
record for deletion, but does not remove records permanently from disk.
If you delete records and do not need them again, select the "Remove
Deleted Records" Option from the Utilities drop-down menu to remove the
deleted records and gain the disk space. When This option is selected, you
will be prompted to confirm your request. Type 'Y', and then press
<ENTER>. Select the file to remove deleted records from, (see figure
5.2).
NOTE: When records removed from disk, they are gone forever.
Clean Up
This option marks old and not needed records for deletion. This will help
you clean up unwanted information. For example, project that were
completed and closed for over a year, you may decide to delete them.
Instead of deleting them one at a time, you can use the Clean Up utility to
delete more than one at one time. When the "Clean Up" option from the
Utilities drop down menu is selected, you will be prompted to confirm
your request. Press 'Y', and then press the <ENTER> key. Select the
file you wish to clean up, (See figure 5.2). You will be prompted to enter
a date. NOTE: be careful of what date you choose, because any projects,
tasks, appointments prior to that date will be deleted.

Move Old To Do Tasks
If you wish to old and uncompleted To Do items to current Work Date,
select this option. NOTE: you can have this function performed
automatically every time you start the program, if you select it in the
SETUP section.
